Your legacy archive comes along
Leases, contractor invoices, meeting minutes, meter readings and floor plans from 1974: scan, upload, done. Alois recognises sixteen document types, creates master data from leases, enters resolutions into the statutory record and files every page with the property, unit and tenant it names. For a scanned floor plan the file name is enough.
AI inbox for tenant requests
Every tenant request is triaged automatically with a draft reply. Alois recognises property, unit and tenant from context. Approval stays with you.
Service-charge statement with audit trail
Capture costs (including receipt photos with AI proposals), pick allocation keys, and Alois calculates per tenant, pro-rata and to the cent, with the German § 35a statement included. Every figure stays traceable; the statement PDF only goes out after your approval.
Condo-association management built in
Owners’ meetings with invitation, agenda and draft minutes, the statutory resolution record, an annual budget with per-unit fee proposals and payment tracking: condo essentials without a second system.

Import from the lease
Upload the lease and Alois extracts it: property, unit, tenant and terms enter the system after your review. Every field points to the passage in the scan it came from.
Legacy records in one pass
Take on invoices, minutes, meter readings, handover protocols, service-charge statements and floor plans in batches, filed to property, unit and tenant, confirmed in groups instead of one by one, with an error log and undo.
Switching from Excel or legacy software
A CSV template per data type with exactly the columns Alois expects: fill in, upload, review, approve. Every row stays with its own record. A tenant list spanning several buildings does not all land on the first one.
Contractor coordination
Directory per trade, emergency tiers, preferred contractors per property, commissioning status in the inbox.
Leases & terms
Base rent, service-charge and heating prepayments, deposit with status, payment day: maintained per lease; expiring leases surface on the dashboard automatically.

Service-charge statements
Allocation keys per cost type (floor area, units, occupants, consumption), pro-rata and cent-exact splits across tenant changes, the § 35a statement, receipt photos with AI proposals, and a reviewable statement PDF per tenant, as a draft.
Rent ledger & bank reconciliation
Monthly rent charges due on the third working day, pro-rata on move-in and move-out, open items with a traffic light, allocation under § 366 German Civil Code. Import bank statements as CAMT.053 or CSV; for every transaction Alois proposes tenant and open item with its reasons, and you confirm the match.
Deadline radar
Statutory deadlines derived from your master data as appointments: service-charge statement, deposit settlement and the short limitation period after move-out, consent and court deadlines for a rent increase, calling the owners’ meeting.
Management contracts with auto-invoicing
Management fee per property with a billing cadence. The invoice draft appears on the due date by itself; nothing is sent without your approval.
Condo: meetings & resolution record
Invitations with the statutory notice period, a structured agenda, votes by head or ownership share, a continuous per-property resolution record. Invitation and minutes PDFs are created as drafts.
Condo: budget & fees
Budget positions per cost type, per-unit fee proposals by ownership share, monthly dues with payment tracking, open items at a glance.
Condo: annual statement & asset report
Annual statement from actual costs, split to the day by ownership share, individual statements with the settlement balance under § 28 (2) WEG, development of the maintenance reserve, a draft resolution for the meeting and the asset report under § 28 (4) WEG, all filed as PDFs with the property.
Document archive
Every document in the portfolio searchable by property, type, source and period. The case file stays the folder; the archive finds the document.
Construction quoting module (add-on)
For managers who also run a construction or trades business: quotes with line items, an article master and calculation right next to the management side. Article lists arrive via CSV from DIY-store or wholesale catalogues.
Spam & trust filter
Unwanted mail is filtered out before it occupies your team. Known senders get priority treatment.

Phone assistant
Planned: Alois takes calls such as fault reports, order status or appointment requests, with transparent AI disclosure, consent and handover to your team. Today only the connection points are prepared; the module is not in operation and not available.
In-app voice control
Navigate Alois and trigger actions via push-to-talk, for example "show me the open cases for …". Every action waits for your confirmation, processed on EU infrastructure.
Invoicing, quotes & e-invoicing
All invoice types from quote to partial and final invoice, gapless numbering, construction specifics (German § 13b, § 48b) and a DATEV connection. E-invoicing compliant with EN 16931 (XRechnung/ZUGFeRD), automatically validated.
Dunning & follow-up automation
Payment reminders and dunning levels 1 to 3 with resubmissions, plus automatic follow-up on open quotes: prepared by Alois, sent after your approval.
Channel extensions
Beyond email: Telegram, website chat and an API channel through which your own systems feed messages and events securely into the inbox. Each channel has its own confidentiality tier.
Frontier AI with consent
For particularly demanding individual cases a more powerful model is to be enabled case by case, only with explicit consent, clearly labelled, off by default. The consent gate is already in place; productive access to the frontier model is still in development.
Operation on your own hardware
Today Alois runs in EU hosting. For organisations where nothing should leave the building, we prepare operation on your own hardware on request. An in-house language model requires a GPU host.
